ATB Invoicing allows you to reissue invoices cleanly when plans change mid-project, when partial payments are made offline, or when overdue penalties need to be added. This guide explains how to maintain clean audit records using version numbers.
1. Handling partial payments offline
Because ATB Invoicing currently requires invoices to be marked as paid in full, partial payments made via cash, cheque, or direct deposit require reissuing split invoices.
- Recommended workflow: Void the original sent invoice, then duplicate it to create two separate invoices.
- Splitting the amount: Set Invoice A to the partial amount received and select Mark as Paid. Set Invoice B to the remaining unpaid balance and send it to your client so it tracks normally through standard due dates and overdue statuses.
- Accounting advice: We recommend checking with your accountant or bookkeeper to ensure reissuing split invoices aligns with your local tax filing workflow.
2. Adding overdue penalties or mid-project scope additions
If you need to charge a late fee on an overdue balance or add new items mid-project, you can reissue the invoice with penalties included.
- How to update: Void the original invoice, duplicate it, and add the overdue penalty or extra scope item as a new line item.
- Invoice number tracking: Update the new invoice number by adding a dash (for example, changing
INV-1001toINV-1001-2). - Traceability: Using the
-2dash convention preserves clear audit trails across your accounting records, letting both you and your client easily track reissued versions without double-counting income.
