Your dashboard shows two numbers for money your customers owe you: Outstanding and Overdue. This article explains what each one includes, how they relate, and why quotes are not part of either.
Outstanding
Outstanding is the total your customers still owe on invoices you have sent, whether or not the due date has passed.
Included:
- Invoices that are Sent, Viewed, or Overdue.
- Partially paid invoices, counted at their remaining balance only.
Not included:
- Draft and Scheduled invoices, because your customer has not received them yet.
- Paid invoices.
- Void, Uncollectible, and Written off invoices.
An invoice you delivered yourself and recorded with Mark as sent counts as outstanding, the same as one sent from ATB Invoicing.
Overdue
Overdue is the part of Outstanding that is past its due date. It is always less than or equal to Outstanding.
An invoice counts as overdue from the day after its due date, in your organization's time zone. Invoices with no due date are never overdue.
Overdue is a label that ATB Invoicing works out from the due date. The invoice's underlying status stays Sent or Viewed. See Understanding quote and invoice statuses.
Example
Northwind Landscaping has three unpaid invoices on March 20, 2026:
| Invoice | Balance | Due date |
|---|---|---|
| INV-101 | $1,000.00 | March 27, 2026 |
| INV-102 | $2,500.00 | February 20, 2026 |
| INV-103 | $500.00 | March 17, 2026 |
- Outstanding = $1,000.00 + $2,500.00 + $500.00 = $4,000.00
- Overdue = $2,500.00 + $500.00 = $3,000.00
If the customer for INV-102 pays in full, Outstanding drops to $1,500.00 and Overdue drops to $500.00.
Where you see these numbers
- Dashboard. The Outstanding invoices panel shows your total outstanding balance and how much of it is overdue, for example "$3,000.00 of that is overdue". The Overdue Invoices card shows the overdue total and links to your overdue invoices, oldest due date first.
- Invoices page. Filter by Overdue to see each overdue invoice. See Navigating and managing your invoices.
- Customers. The Outstanding column on the Customers page shows how many unpaid invoices and open quotes each customer has. It is a count, not a dollar amount.
Why quotes are not included
Quotes are not a request for payment, so they never count toward the dashboard's Outstanding or Overdue totals. Once a customer accepts a quote, ATB Invoicing creates a draft invoice from it. That invoice counts as outstanding only after you send it.
The quote equivalent of overdue is Expired. A quote expires when its Valid Until date passes without a response.
Which number to act on first
- Overdue is money that should already be in your account. Follow up on these invoices first.
- Outstanding helps you predict upcoming cash flow.
Tip. The dashboard lists your most urgent overdue invoices so you can act on them directly. See What "Needs Attention" shows you.
