Understanding quote and invoice statuses

Every quote and invoice shows a status badge that tells you where it is in its life, from draft to paid or accepted. This article explains each status, what changes it, and why an invoice can show Overdue when it was only ever sent.

Invoice statuses

Status What it means What moves it here
Draft You are still working on the invoice. Your customer cannot see it. Creating or duplicating an invoice.
Scheduled A draft set to send itself at a future date and time. Scheduling a send.
Sent The invoice is with your customer and unpaid. Send invoice, Mark as sent, or a scheduled send.
Viewed Your customer opened the full invoice from a secure link. The customer's first view.
Overdue A sent or viewed invoice past its due date. See below. The due date passing.
Partially Paid Some of the balance is paid. Recording a payment for less than the balance.
Paid The full balance is paid. The invoice is locked. Mark as paid, or a completed Interac e-Transfer.
Uncollectible You no longer expect payment. Mark as uncollectible, available once an invoice is 90 or more days overdue.
Written off The remaining balance of a partially paid invoice was forgiven. Write off balance.
Void The invoice is cancelled but kept for your records. Void invoice.

Paid, Uncollectible, Written off, and Void are final. You cannot move an invoice back to an earlier status. A draft that was never sent is not voided. You delete it instead with Delete draft.

Note. Void, Uncollectible, and Written off invoices do not count toward your outstanding balance.

Quote statuses

Status What it means What moves it here
Draft You are still working on the quote. Creating a quote.
Sent The quote is with your customer, waiting for a response. Send quote or Mark as sent.
Viewed Your customer opened the full quote from a secure link. The customer's first view.
Accepted Your customer agreed to the quote. The customer clicks Accept quote, or you use Record decision.
Rejected Your customer declined the quote. The customer clicks Decline quote, or you use Record decision.
Expired The quote's Valid Until date passed without a response. The date passing.
Void You cancelled a sent quote. Void quote.

When a quote is accepted, ATB Invoicing creates a draft invoice from it automatically. See Converting quotes to invoices automatically.

Accepted, Rejected, Expired, and Void are final. A sent quote shows Expired as soon as its Valid Until date passes, and you receive a notification.

Why an invoice shows Overdue when it was sent

Overdue is a label, not a separate step in the invoice's life. Behind the badge, the invoice is still Sent or Viewed. ATB Invoicing shows Overdue when both of these are true:

  1. The invoice is Sent, Viewed, or Partially Paid.
  2. Today, in your organization's time zone, is later than the due date.

An invoice due on March 5, 2026 shows Overdue from March 6, 2026. An invoice with no due date never becomes overdue.

This is why an overdue invoice appears under both the Sent (or Viewed) filter and the Overdue filter on the Invoices page. The invoice page also shows a banner with the number of days overdue, and you get a notification the first time it becomes overdue.

Overdue goes away when:

  • The invoice is paid in full.
  • You void it or mark it uncollectible.
  • You change the due date to today or later. If the new date passes without payment, Overdue returns.
