How manual and automated receipts work

A receipt confirms to your customer that an invoice is paid in full. This article explains how an invoice becomes Paid, when ATB Invoicing sends a receipt for you, and how to send one yourself.

What a receipt is

In ATB Invoicing, a receipt is the paid invoice itself. When you send a receipt, your customer gets an email, a text message, or both, with a secure link to the invoice. The invoice now shows the amount as paid.

You can only send a receipt for an invoice with the status Paid. If you want a copy for your own records, open the paid invoice and click Download PDF. The PDF shows the total as paid.

How an invoice becomes Paid

There are two ways an invoice reaches Paid: you record the payment yourself, or ATB Invoicing records it from Interac e-Transfer.

  • Manual payments (EFT, cheque, cash). ATB Invoicing cannot see these payments. When you confirm the funds are in your bank account, open the invoice, click the actions menu, and choose Mark as paid. You can also mark several invoices as paid at once from the Invoices page.
  • Interac e-Transfer payments. When your customer pays through the Interac e-Transfer request on the invoice, ATB Invoicing records the payment and marks the invoice Paid. To check for a completed transfer, open the invoice and click Refresh in the Interac e-Transfer panel.

Either way, the invoice locks once it is Paid. Its timeline shows Marked paid for a manual payment.

Automatic receipts

With automatic receipts turned on, ATB Invoicing sends a receipt once, as soon as the invoice is paid in full. This works the same way for manual and Interac e-Transfer payments.

The setting works at three levels. The most specific setting wins:

  1. Organization. Open your profile menu, click Manage Organization, and edit Default Settings on the Business Details tab. Select or clear Automatic Receipts. This is on by default.
  2. Customer. Open the customer, click the Customer Settings tab, and edit Default Settings. Set Automatic Receipts to Use organization setting, On, or Off.
  3. Invoice. Open the invoice and use the Automatic receipts card. Choose Use customer setting, On, or Off, then click Save.

The automatic receipt goes out through the same channel you last used to send the invoice. If that channel is no longer available, it uses whichever contact detail is on file.

Note. If the customer has no email address or phone number on file, or the message fails, the receipt is not sent. You get a notification that says the receipt was not sent, and the invoice timeline shows Automatic receipt failed to send.

Send a receipt manually

You can send a receipt at any time after an invoice is Paid, as many times as you need. Do this if your customer asks for another copy, or if automatic receipts are off.

  1. Open the paid invoice, or find it on the Invoices page.
  2. Click the actions menu and choose Send receipt.
  3. Select Email, SMS (text message), or both. Only the contact details on file are available.
  4. Click Send via email, Send via text, or Send via email and text, depending on your selection.

The invoice's Status card shows Receipt last sent with the date, and the timeline records Receipt sent.

Tip. To preview what your customer receives, choose Send test receipt from the actions menu and enter your own email address.

Common issues

I cannot find Send receipt

The invoice is not Paid yet. Mark it as paid, or check the Interac e-Transfer status. See What to do if you're not receiving a client's payment.

I cannot change the Automatic receipts setting on an invoice

The setting is locked on invoices marked Uncollectible. You also need the Create and manage invoices permission to change it.
