Why can't I find a customer?

If a customer is missing from your Customers page or from the customer list on a new invoice or quote, the cause is usually a filter, an archived record, or your permissions. Work through the checks below to find the customer again.

Check 1: The customer is archived

The Customers page shows only active customers by default. Archived customers are hidden from this view and cannot be selected on new invoices or quotes.

To see archived customers:

  1. Go to Customers.
  2. Click the filter button next to the search field. The Filters panel opens.
  3. Under status, select Archived to see only archived customers, or All customers to see everyone.
  4. Click Apply Filters.

Archived customers show an Archived label next to their name. To make an archived customer active again, do one of the following:

  • In the Archived view, open the row's actions menu and click Revive.
  • Open the customer and click Unarchive Customer.

After you revive the customer, they appear in your active list and you can select them on new invoices and quotes again.

Check 2: A search or filter is hiding the customer

Active search terms and filters appear as chips below the search field. When nothing matches, the page shows No customers match your filters.

  • Remove a single filter by clicking the chip, or click Clear filters to reset the page to all active customers.
  • The search field matches the customer name, email, phone, contact name, contact email, contact phone, and tags. Try a shorter part of the name, or search by email instead.
  • When you filter by more than one tag, the list shows customers that have any of the selected tags.

The list shows 25 customers per page, with the most recently added customers first. If you have many customers, check the next page or search by name instead of scrolling.

Tip. Use tags to group customers you look up often, such as "Residential" or "Commercial". See Organizing customers with tags.

Check 3: The customer is not in the list when you create an invoice or quote

The customer field on a new invoice or quote lists active customers only. It matches the customer name, email, contact email, and phone number. It does not match tags or the contact name.

If the customer is archived, revive them first (see Check 1). If the customer does not exist yet, click Create new customer in the customer list to add them without leaving the invoice or quote form.

Check 4: The customer was deleted

Deleting a customer removes them permanently, and deleted customers do not appear in any view. You can only delete a customer who has no sent invoices or quotes. If a customer was deleted by mistake, add them again as a new customer.

Check 5: You do not have permission to view customers

To see the Customers page, your role needs the View clients or Create and manage clients permission. Without one of these permissions, the customer list does not load.

Administrators set role permissions under Manage Organization on the Permissions tab. If you think you should have access, ask an administrator in your organization to review your role.
