Why do quotes require payment terms?

Every quote in ATB Invoicing shows payment terms, even though a quote is not a bill. This article explains why, where the terms come from, and how they set the due date when an accepted quote becomes an invoice.

Why a quote needs payment terms

When a quote is accepted, ATB Invoicing turns it into a draft invoice automatically. This happens whether your customer accepts the quote from their secure link or you record the acceptance yourself. No one fills in an invoice form at that moment, so ATB Invoicing needs to know in advance when payment will be due.

Payment terms answer that question. They tell ATB Invoicing how many days after the invoice date the payment is due, so the new invoice is ready with a due date as soon as the quote is accepted.

Where a quote's payment terms come from

You do not pick payment terms on each quote. The Payment terms shown in a quote's details come from your defaults, in this order:

  1. The customer's own Payment Terms, if you have set one for that customer.
  2. Your organization's Default Payment Terms, if the customer uses the organization default.

You set your organization's Default Payment Terms when you first set up ATB Invoicing, which is why every quote has terms. The available options are:

  • Due on receipt: payment is expected immediately.
  • Net 7, Net 15, Net 30, or Net 60: payment is due that many days after the invoice date.
  • Custom: payment is due a number of days after the invoice date that you choose. This option is available for your organization default only.
Note. Your customer does not see payment terms on the quote itself. Terms first appear to the customer as the due date on the invoice.

How payment terms carry over to the invoice

When the quote is accepted, ATB Invoicing creates a draft invoice and sets its dates as follows:

  • The Invoice date is the date the quote was accepted.
  • The Due date is the invoice date plus the customer's payment terms, or your organization's default terms if the customer has none.

For example, Northwind Landscaping accepts a quote on March 5, 2026. If Northwind uses Net 30, the draft invoice is dated March 5, 2026 and due April 4, 2026.

ATB Invoicing uses the terms that are in place when the quote is accepted, not when the quote was created. If you change a customer's terms while a quote is waiting for a response, the invoice uses the new terms.

Tip. The converted invoice is a draft, so you can review it and change the due date before you send it.

How to change the payment terms used on quotes

To change the terms for one customer:

  1. Go to Customers and open the customer.
  2. Click the Customer Settings tab.
  3. Edit Default Settings and choose an option under Payment Terms. Choose Use organization default to follow your organization's terms.
  4. Save your changes.

To change the terms for all customers who use the organization default, go to Manage Organization, open the Business Details tab, and edit Default Payment Terms in the Settings section.
